CASE STUDY
FAX ELIMINATION FOR ORDER MANAGEMENT SYSTEM
CLIENT PAIN POINTS
The Challenge
A large spirit seller was receiving purchase orders from many wholesalers (and small retailers) via fax. Order faxes come in various formats, usually at the discretion of the sender. Processing these orders manually had increased the manual workload while preventing the client from having full visibility on their sales orders.
Although they were using an EDI (electronic data interchange) solution to receive and manage these orders, until now, many wholesalers had been reluctant to change their workflow and adopt such a solution.
The client contacted Altera to help them drastically reduce the usage of fax and eventually, phase them out completely.
EFFORTS
Our Solutions
- Altera started by a comprehensive audit of their current processes and systems as well as past digitalization initiative(s).
- We segmented wholesalers and proposed digital solutions to reduce manual input.
- We specified implementation requirements for each solution (architecture, workflows, integration with other systems, etc.)
- We provided a fax reduction impact assessment for each solution
- We built a Proof of Concept (POC) of the recommended solutions
- We reviewed together with the client that the POC outcomes were conformed to specifications and expectations.
- We provided PoC Documentation and other handover sessions to ensure proper knowledge transfer.
OUTCOMES
The Results
The client was satisfied with the PoC and its functionality, which was then used as a basis for a regional level project implementation.
